This application is mandatory for reserving Private or Special Neighborhood Events at the Clubhouse. The Clubhouse is to be used on a reserved basis only, except for the pool areas, which will be open to residents based on the hours of operation published by the Association. This form must be filed with the office at least 48 hours before any intended use for small gatherings so that the security system can be programmed accordingly.
A copy of the Clubhouse Rules and Regulations should accompany this application. If for some reason you do not receive these Rules and Regulations, it is your responsibility to obtain a copy from an agent of the Grand Lake Homeowners Association. Failure to obtain a copy of the Rules and Regulations does not waive your responsibility to follow the Rules and Regulations. Only residents in Good Standing with the HOA may reserve the Clubhouse.
Reserving the Clubhouse for a non-association sponsored event requires a $200 rental fee, payable to the Grand Lake Homeowners Association, Inc. This fee consists of a $100 non-refundable usage fee and a $100 damage deposit. Your application is not complete until the $200 rental fee is received.
The rental fee for the clubhouse will be processed, and the $100 deposit will held until the date of the clubhouse inspection. The inspection of the clubhouse will be completed within 5 business days of the event. Any damage to the walls or ceilings caused by decorations, tape, staples, etc., will result in the forfeiture of the deposit. If the clubhouse is left in a satisfactory condition after the inspection, the check will be voided and shredded.
Send the applicable fee and damage deposit to the Grand Lake Homeowners Association, Inc., 3313 Memorial Parkway SW, Suite 108, Huntsville, AL 35801 at least 48 hours before your requested date. You may pay the $100 rental fee online via the resident portal however, the deposit must be mailed or dropped off at the address above.
